The assumption in this page is that the club  will replace the booking system at Chirnside with an on-line system – WebCollect

The argument about priority of booking between face to face and online booking changes.  Dates for booking on-line can be more restrictive than for face to face.  More than one pc can be used to handle face to face bookings at Chirnside. 

The WebCollect system does not provide bespoke reports such as the current bus lists and booking summaries but these can be incorporated into end of day backup procedures.

Seat availability will be viewed via the WebCollect system.

WebCollect costs are currently £200 p.a. plus approx 3.5% of on-line receipts in respect of PayPal .  1.5% for Direct Dibit (via GoCardless)

WebCollect does not support credits – these can be replaced by refunds but I would introduce a more formal resquest and authorisation procedure.

Making a Booking - Members (Chirnside booking system)

Member bookings can be made on Friday mornings between 10:00 and 11:00 at Chirnside House (except on those Fridays which are walk days or are public holidays).  Before or after those times bookings will only be taken at the discretion of the booking secretary.  Each member can normally make bookings for themselves and one other member. 

Complete one form per person to help the booking process. You will get a supply of forms with your new programme, or get some at Chirnside, or print some off from the documents section of this site.

List the walk numbers of all the walks you want on the one form. 

Once your bookings have been made and paid for, you will receive a receipt that highlights the bookings made today but also shows all previous bookings made for walks that have not yet taken place.  Check this receipt carefully. Human error does occur (wrong numbers on forms, typing errors etc.) so please ensure that the right name appears at the top, the desired walks have been booked and that the Bus and Pickup points are correct.

Making a Booking by e-mail and Bank Transfer

Bookings in person by members are handled first of all on a Friday morning followed by the potentially more complicated processing of on-line requests.

E-mail requests can only be processed if funds have been received into the societies bank account and are referenced with the member’s name and membership number.

A bank transfer to cover the cost of the bookings requested should be made to the Club’s account at Barclays Bank, Sort code 20-62-09 account number 20584266.  It is a good idea, when first setting up the transfer instruction with your bank, to only make a single booking to test that your transfer details have been set correctly.

If there is a mismatch between bus seats available, funds paid in (plus credits available if applicable) and walks requested then the following steps will be followed.

It will be assumed that if two members are named they will want to be treated as a couple and if only one seat is available then neither will be booked.

If funds deposited (plus any credit available) are insufficient to cover all walks then the later walk(s) will not be booked.

If some bookings are not made for the above reasons then the balance of funds not used for bookings will be saved as a credit on the members account.

    Making a Booking - Members (WebCollect online booking system)

    Member bookings with cash or cheque can be made on Friday mornings between 10:00 and 11:00 at Chirnside House (except on those Fridays which are walk days or are public holidays).  Before or after those times bookings will only be taken at the discretion of the booking secretary.  Each member can normally make bookings for themselves and one other member. Alternatively members can book walks online and pay by bank transfer, but be aware that online bookings will close before the last day for in-person bookings at Chirnside.  This is to allow for the preparation of attendee bus lists for the upcoming walk or walks.

    Complete one form per person to help the booking process. You will get a supply of forms with your new programme, pick some up at Chirnside or print some off from the documents section of this site.

    List the date and destination of all the walks you want on the one form. You will also be asked for your preferences for bus, pickup point and favourite walk distance.

    Once your bookings have been made and paid for, you will receive a receipt for the bookings made today by email.  Check this receipt carefully. Human error can occur (wrong entries on forms, typing errors etc.) so please ensure that the right name appears at the top, the desired walks have been booked and that the Bus and Pickup points are correct.

    When making a booking you are accepting that you are participating at your own risk.

    WebCollect booking system

    You can use the WebCollect calendar to check on availability of seats on buses and also to book seats if you have activated your e-mail address.

    Non-Members Booking

    At 11:00, members can book for guests but only for any walks that will take place between then and the next Friday booking day. This will normally be just the next walk but on those weeks when we walk the following day, i.e. on Saturday, then the walks on the following Friday and the Thursday in the week after that will also be available.

    The Saturday walks do not usually get filled and so present themselves as the best opportunity for non-members to walk with us.

    Cancelling a Booking

    If you find that for some reason that you can’t go on a walk that you have already booked then please let the booking secretary know, if possible, so that your seat can be sold to another member.  No refunds are issued except in special circumstance such as funerals and hospital appointments.

    Walks can not be transfered to other members.

    If you change you mind later, e.g. your visitors can’t come, then you can be reinstated on the walk if there is space.

    If for any reason the club cancels a walk then credits will be given.
